The Client — A fast-growing retail healthcare firm with multiple locations needed a clearer and more consistent way to manage clinical and office operations across its expanding footprint.
The Challenge — Rapid growth had created variation in how procedures were performed from location to location. Core clinical workflows, office activities, and day-to-day responsibilities were not documented consistently, which made it harder to train new team members and increased the risk of operational errors.
As the organization continued opening new offices, leaders needed a standardized operating model that could support consistent patient experiences, better employee training, and stronger operational control. Without clear documentation, each location risked developing its own version of the process.
What We Did — RDA developed a comprehensive Clinical Operations Playbook designed to capture the organization’s key workflows, detailed procedures, and critical office activities.
The work focused on turning informal operating knowledge into clear, usable documentation that could support training, daily execution, and cross-location consistency. The playbook gave leaders and managers a shared reference point for how work should be done and created a repeatable model for future office openings.
Rather than creating documentation for its own sake, the playbook was structured around practical use: helping employees understand their responsibilities, helping managers monitor execution, and helping the organization reduce operational variation as it scaled.
